This Privacy Policy describes how Hospitality Tools AI, LLC (“Hospitality Tools AI,” “we,” “us,” or “our”) collects, uses, and discloses information when you access or use our website, directory, and related services (the “Services”). By using the Services, you agree to the practices described in this Privacy Policy.
Information We Collect
1) Information You Provide Directly
We may collect information you provide to us, including:
- Account Information: name, email address, avatar, company name, role/title, and other information you provide when registering or updating your account.
- Listing / Tool Submission Information: information about tools you submit, such as tool name, description, category, pricing, website URL, logo/images, and contact information.
- Payment and Transaction Information: subscription plan selected, billing details, payment status, invoices/receipts, and related transaction records. Payment card information is processed by our payment processor (e.g., Stripe) and is not stored by us in full.
- Communications: information you provide when you contact us (e.g., email content, support requests).
- Newsletter Subscription: email address and preferences when you subscribe to newsletters or product updates.
- Reviews and Ratings: comments, ratings, and feedback you provide about tools listed on the Services.
2) Information Collected Automatically
When you visit or use our Services, we may collect certain information automatically, including:
- Device and Network Information: IP address, browser type, operating system, device identifiers, and approximate location derived from IP.
- Usage Data: pages viewed, referral URLs, clicks, interactions, timestamps, and other activity information.
- Cookies and Similar Technologies: we use cookies, pixels, SDKs, and similar technologies to operate the Services and for analytics and advertising (see “Cookies and Advertising” below).
Public Listings
Certain information you submit as part of a Listing may be publicly displayed (for example: tool name, description, category, pricing, website URL, and logo/images). If you choose to include contact details in a Listing, you understand those details may also be publicly visible. Do not submit personal information you do not want to be public.
How We Use Information
We use information we collect to:
- Provide the Services: create and manage accounts, process subscriptions, display Listings, and facilitate directory browsing and discovery.
- Moderate and Improve Quality: review and moderate Listings, prevent spam and abuse, and maintain the integrity of rankings/categories.
- Analytics and Product Improvement: understand usage, measure performance, develop features, and improve search and discovery.
- Communications: send transactional messages (e.g., account, billing, security, policy updates), respond to inquiries, and provide support.
- Marketing and Advertising: send newsletters and updates (where permitted), and measure and optimize marketing campaigns.
- Security and Compliance: detect, investigate, and prevent fraud, unauthorized access, and other harmful activity; comply with legal obligations.
Legal Bases for Processing (EEA/UK)
If you are located in the European Economic Area (EEA) or the United Kingdom, we process personal information only when we have a valid legal basis, including:
- Contract: to provide the Services you request (e.g., account creation, paid listings, billing, customer support).
- Legitimate Interests: to operate, secure, and improve the Services (e.g., preventing fraud and abuse, maintaining the directory, analytics and product improvement, and business operations). We consider and balance our legitimate interests against your rights.
- Consent: for certain marketing communications and for the use of non-essential cookies and similar technologies (including analytics and marketing/advertising cookies and pixels) where required by law.
- Legal Obligation: to comply with applicable laws (e.g., tax, accounting, regulatory, and lawful requests).
Cookies and Advertising (GA4 and Ad Pixels)
We use cookies and similar technologies (such as pixels, SDKs, and tags) for necessary website functions, analytics, and advertising/measurement.
- Necessary Cookies: required for core functionality (e.g., authentication, security).
- Preference Cookies: remember settings and preferences.
- Analytics Cookies: help us understand how the Services are used (for example, Google Analytics 4 (GA4)).
- Marketing / Advertising Cookies & Pixels: help measure ad performance and support advertising and remarketing campaigns. We may use advertising pixels/tags from platforms such as Google, Meta, LinkedIn, or others.

We do not sell personal information. We may share information in the following circumstances:
- Public Directory: Listing information you submit may be displayed publicly as described above.
- Service Providers: with vendors that help us operate the Services (e.g., payment processing (Stripe), hosting and data infrastructure (Supabase), file/media storage (Cloudflare R2), email delivery (Resend), analytics (GA4), and other infrastructure/security providers). These providers are authorized to use information only as necessary to provide services to us.
- Advertising and Measurement Partners: we may share certain information (such as cookie identifiers, device information, and event data) with advertising partners via pixels/tags to measure performance and optimize marketing. Where required by law (including in the EEA/UK), we will do so only after obtaining appropriate consent.
- Compliance and Protection: when we believe disclosure is required by law or necessary to protect rights, safety, and security, investigate fraud, or enforce our agreements.
- Business Transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to standard confidentiality protections.
Data Retention
We retain personal information for as long as necessary to provide the Services and for legitimate and essential business purposes such as maintaining records, complying with legal obligations, resolving disputes, enforcing agreements, and improving the Services. For example, we may retain billing records as required by law and security logs for a limited period for abuse prevention.

We implement reasonable technical and organizational measures designed to protect personal information (including encryption in transit via SSL/TLS and access controls). However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

EEA/UK Privacy Rights

Where we rely on consent, you may withdraw consent at any time (this will not affect the lawfulness of processing before withdrawal). You also have the right to lodge a complaint with your local data protection authority.
U.S. State Privacy Disclosures (Including California)
If you reside in certain U.S. states (including California), you may have additional rights regarding your personal information.
Do Not Sell/Share
We do not sell personal information. We may “share” personal information for cross-context behavioral advertising (for example, through marketing cookies/pixels used for targeted advertising and measurement). You may have the right to opt out of such sharing.

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us and we will take appropriate steps to delete it.
